How to invoice as a mobile mechanic
Whether you turn wrenches in a customer's driveway or run a mobile fleet-service route, a clear invoice is what gets you paid on time and keeps your books straight at tax season. Here's what a solo mobile mechanic should put on every invoice.
What to include on the invoice
Your shop identity. Put your business name, phone, and email at the top so the customer knows exactly who they're paying and how to reach you for follow-up work. If you have a business license or certification number, add it — it builds trust.
An invoice number and date. Number your invoices sequentially (INV-0001, INV-0002…) so you can find any job later and reconcile payments. The date sets the clock for when payment is due.
The customer and the vehicle. Record the customer's name and phone, plus the vehicle's year, make, model, VIN, plate, and mileage. The mileage and VIN matter for warranty tracking and for the customer's own service records.
Separate parts from labor
List each part and each labor operation on its own line with a quantity and a unit price. Keeping parts and labor separate makes the invoice easy to read, helps the customer see the value of the work, and — importantly — makes tax simpler, because in many states sales tax applies to parts but not to labor. Check your state's rule and tax only what you're required to.
Add tax and show the total clearly
Apply your local sales-tax rate to the taxable portion, then show a clean subtotal, tax, and grand total. A customer who can see how the number was built is a customer who pays without a dispute.
Make it easy to pay you
Spell out how you accept payment — cash, card, check, or an app like Venmo, Cash App, or Zelle — and note when payment is due. A short warranty line (for example, “12-month / 12,000-mile warranty on parts and labor”) reassures the customer and sets expectations for both of you.
